Virtual events don’t have to be complicated. When the Center of Family Love needed to convert their in-person event to a virtual hyrbid event, Cory’s Audio Visual was ready to provide expertise and ease to the process.

Challenge

After COVID-19 rocked the events world throughout the world, organizations like Center of Family Love in Oklahoma had to re-evaluate their longtime events and key sources of fundraising. A virtual event was the only way to go. Their biggest challenge was reaching their donors who normally attend the gala in the past with a live stream. Taking it a step further, their virtual platform had to drive donations and bidding in a big way with a large portion of the audience feeling intimidated by technology.

“The virtual platform gave us the opportunity to reach new donors, but we knew we needed to retain our current ones as well. There were many obstacles we faced, for example the largest obstacle for our donors was trying to understand how an in-person event could be virtual. This came specifically with a certain age demographic. The donors felt intimidated with the use of technology,” Caroline Stringer, Philanthropy Manager for Center of Family Love. 

Solution

Bottom line, the event had to bring the same kind of engagement and ease that a typical in-person event could provide. Cory’s Audio Visual welcomed the team from Center of Family Love to their virtual studios equipped with a technical team, high quality streaming technology, and professional lighting and staging.

In addition, the team at Cory’s Audio Visual produced graphics for the live stream that helped to promote bidding and donations throughout the program. Custom scripting was drafted to match the buzz behind the scenes with the message to donors and attendees.

“Cory’s Audio Visual helped us communicate clearly to all who wanted to participate and made it as simple and clear as possible,” said Stringer. 

In order to ensure seamlessness, portions of the “live event” were pre-recorded to deliver the best custom audio and lighting. Many live performances were documented a few days in advance to help deliver a stress-free experience for the event planners.

Result

In the end, Center of Family Love had a very successful gala and telethon. Funds raised equaled 60% of money raised by an in-person event and copious amounts of positive feedback from their donors, including requests to keep a virtual aspect to the event moving forward.

Our participants loved that we were able to bring the residents to life and show the world who they are like never before. We were able to gain many new donors through the event and also reactivate old donors. Our numbers in those areas are incredible. The event moving forward will never be the same,” said Stringer.
